What to Bring with You

Keep luggage to a minimum as there is not a lot of storage space and you will need to clear your room at the end of each term.

Arrange insurance – the college insurance policy does not cover students’ personal effects. You are advised not to bring items of value with you.

All students

Birth certificate or passport (required when collecting your bursary)

Soap/towels etc,
Utensils for light snacks i.e. cutlery, plates, cups and mugs, tea towel etc.

- electric heaters, loud stereo systems, pets

Finances

Bursaries are paid in six instalments, at the beginning of each term and halfway through each term.

Remember to open a bank account before arriving.
(Note the only bank with a branch in Harlech is HSBC, plus there is a Post Office which are both an uphill walk from the college).

If you envisage problems in opening a bank account or using one, please contact the Student Grant Officer immediately once you have received notification of your bursary award or at least one week prior to the start of term.

Key and Damage deposits to the value of £60 will be deducted from your bursary - damage deposits must be maintained at a £50 level throughout your course of study - in addition, if you are purchasing a bedding pack (£35) this will also be deducted.

Absence and Attendance

Attendance
It is assumed by all staff that regular attendance should not be a problem as all students who undertake the course do so in order to take advantage of the learning opportunities available.

Attendance is critical because:

  • Examination Boards need to know whether students have attended classes regularly when they are considering results.
  • Funding Authorities will remove funding for a student who has not attended for a two week period with out any reason.
  • The material covered in lessons is designed to give you a basic understanding of the subject matter. This will make the independent study that is required on the course easier for the individual student to pursue.
  • The material covered in lessons provides the necessary information for the progression routes that students take.
  • Assessments are built into each module, if students do not take advantage of the opportunities in formal sessions, they may find it hard to complete the assignments.
  • Any students not attending regularly may find that any request for extension time on set assignment submission dates will be looked on less favourably.
  • Important administrative information is often given out in timetabled classes, i.e. changes to the submission dates for assignments or details of examination arrangements.

Absence
Attendance is connected to funding and unauthorised absence may lead to funding/bursary withdrawal. Every attempt should be made to ensure that the college is kept informed about your whereabouts as this information is connected to Health and Safety requirements and procedures.
All students should be present for all of their taught sessions throughout the teaching week. However, there may be occasions where absence is unavoidable. If you need to be absent from the College for any reason you should inform/consult with your tutor at the earliest opportunity.
Resident students who need to be away overnight, during the week or weekend, must also advise the Facilities Manager. This may be done by recording absence in the record book held in the dining room servery.

If you are sick for more than 5 days you must submit a Doctor's sick note to the Student Grants Officer (failure to submit a sick note will put your grant at risk and may be subject to disciplinary action).

Sickness for less than 5 days must be notified to the college as per the conditions stated in the ISLA
Non-authorised absence will result in your receiving a Minor Infringement Warning, which is linked to the disciplinary procedure. Disciplinary action can result in the termination of your studentship.

The Post Office is open 9am – 5.30pm Monday – Friday, 9am – 5pm on Saturday.

Student Welfare and Pastoral Care

As a general principle all students are encouraged to seek the help they need rather than suffer in silence and perhaps jeopardise their academic work.

Tutors

Tutors are available to listen to problems linked to academic difficulties. It should be appreciated, however, that tutors are busy people. Except in cases of emergency you should make an appointment request to see your tutor outside normal class times but it is appreciated that difficulties that previously seemed manageable can suddenly appear to be more difficult to handle.

Many different problems can affect your work so these should always be communicated to your tutor.

Whilst tutors will always try to be helpful, they are not qualified counsellors and have not been specifically trained to deal with all student issues. With problems that are non-academic work related they would usually refer you to more appropriately qualified support. For example, this may be support offered by another member of staff, a trained counsellor or a doctor etc. Please remember, that you might also find it more helpful to speak to the counsellor or other non-teaching member of staff because they are not, in any way, involved with your academic work.

The Student Counsellor
Student counsellors are professionally qualified and offer a confidential service to all students. Individual appointments can be arranged for students through the student support manager or by anonymous means on a sheet outside the counsellor’s room.
Many students encounter some difficulties during their period of study, but often these can be successfully managed and/or resolved by counselling support. Some problems may be more prolonged i.e. anxiety, panic attacks, feelings of helplessness and hopelessness, depression and/or substance use/abuse and the student counsellor may suggest additional specialists who can help. In these cases the student counsellor will do everything possible to assist students including helping students to access other support options.

Student Support
The Student Support Centre provides you with access to a wide range of information, and staff can advise on all aspects of student welfare. You can take personal, financial, grants, housing, or academic related difficulties to them; they will always either offer you appropriate support or refer you to the appropriate person or external agency. Appointment requests to see tutors outside of scheduled teaching/tutorial times should usually be arranged via the student support officer, the support officer will contact the relevant tutor and ascertain the most suitable time for you to be seen by the tutor. The Student Support Centre will, almost always – with the exception of emergencies outside normal office hours, be the best and first point of contact for any/all types of support.

Student Travel

Harlech is in a rural area with limited public transport. If you have not received a copy of the local bus and train timetables then these are available from the Library and student support room.

You may be eligible for a travelling grant from ELWa (Education and Learning for Wales) if you receive an ELWa bursary. Applications must normally be made by the end of January (not at the end of the academic year) and supported by appropriate receipts.

Financial Hardship

Limited funds are also available from the Financial Contingency Fund provided by ELWa and from Coleg Harlech WEA(N)’s own Hardship Fund. Applications should be submitted to the Student Support Officer with supporting evidence. If you need support with any financial matter please contact the Student Support Officer for an appointment and they will be pleased to help in any way possible.

Visitors and Guests

Visitors are only allowed in the student residences at your invitation and you are responsible both for their safety and for their behaviour while they are on the premises. They must, leave by midnight and should not use the residential facilities such as baths, showers or kitchen facilities, which are for residential students and other residents only.

Meals can be ordered in advance for your visitors but must be paid for in cash before leaving the Servery. Students are permitted pre authorised overnight visitors on Friday and Saturday nights only. This policy is in place as a measure of respect and recognition of the Academic requirements of the course of study undertaken by students.

Should you wish to have an overnight guest you must contact the Facilities Manager prior to their visit to arrange a room for them and gain authorisation for them to stay in the Halls of Residence.

At this time you must also make the necessary payment arrangements for any accommodation and/or meal charges that will be incurred.

The presence of unauthorised guests on the College premises is considered to be trespass.

Vacations and Vacating Rooms

Please note that the Association does not accommodate students over the vacations. The DELLs bursary includes an element to meet vacation costs. Students without accommodation for vacation periods should seek advice from Student Support. Students in financial need may apply for help from the Financial Contingency Fund to help with the cost of accommodation during these times.

Students will be required to vacate their room on the last day of each term. Students will be issued with notice to clear their room of personal belongings 2 weeks prior to the end of each term. Limited storage space for personal belongings (max 2 items) is allocated for students over Christmas and Easter vacations. Please note that any items stored by students are at their own risk and must not take up an excessive amount of space.
